How to Announce a Delivery

To guarantee a smooth and timely inbounding of your goods, it is essential to announce your deliveries in the Dashboard before sending your inventory. This process ensures that your deliveries are properly tracked and processed upon arrival.

1. Access the Inventory Section

  • Log into your dashboard.
  • Navigate to the "Inventory" section.

2. Create a New Delivery

  • Go to "Deliveries".
  • Click on "New Delivery".

3. Choose Products for the Delivery

  • Select products for the delivery either manually or via CSV file.

4. Select Inbound Method

Choose how the delivery will be sent, either on pallets or loose parcels. Next, select the processing method the warehouse should use to receive your inventory: 

  • Announced quantities: With the standard option; the warehouse inbounds the products based on the quantity announced in the system without a manual count or data verification.
  • Sampling required: The warehouse checks boxes to record specific product data (e.g., Lot numbers, Expiry dates) and quickly checks if the announced quantity is making sense with the number of boxes/pallets received, but does not perform any count.
  • Counting required: The warehouse performs a full manual count of every item to ensure the highest level of stock accuracy.

5. Enter Delivery Information

  • Choose your delivery method (Pallets or Parcels).
  • Enter further details about where, how, and when the delivery will be made.
  • Enter the tracking link: This information is essential to ensure your delivery is inbounded on time and to obtain accurate timestamps.
  • If you have a multi-warehouse setup, select the destination warehouse.
  • Choose the carrier and delivery type. 

Note: Only regular pallet or loose parcel delivery is available for most customers. If you’d like to delivery containers, please contact your Account Manager.

6. Select Estimated Time of Arrival

  • Select a time frame for the estimated time of arrival.

 

Note: Refer to the delivery guidelines for required lead times based on delivery size.

7. Download and Print the Delivery Note

  • Download and print the Delivery Note.
  • Attach it to each parcel or pallet.

Important Points & Guidelines

  • Check our Delivery Guidelines and Requirements before sending your inventory. Deliveries that are not compliant with our guidelines might get rejected or additional fees could be charged for inbound.
  • One SKU per Box Rule: For both Sampling and Counting, you must ensure that one box contains only one SKU. If boxes contain mixed SKUs, the warehouse will charge an additional hourly fee on top of the standard service fee to sort the items.
  • Liability: Please be aware that "Sampling" is mainly designed for data collection (Expiry/Lot) or some spot check. Because we do not open and count each box during this process, we cannot accept liability for quantity discrepancies under this method.
  • Announce your deliveries in advance: 
    • First-time deliveries must be announced one week in advance.
    • Subsequent deliveries can be announced three days in advance. 
    • Deliveries that include new products (products that were not previously in stock) must also be announced one week in advance.

Understanding the Difference: Sampling vs. Counting

It is important to choose the method that best fits your business needs:

  • Sampling is designed for capturing key product data, such as lot numbers and expiry dates. The goal is performing a high-level plausibility check of the delivery size and its contents. In this process, the warehouse retrieves information directly from the box labels or by checking a single sample item from within the box. Because the focus is on data collection rather than a unit-by-unit verification, there is no liability for stock discrepancies under this option.
  • Counting is the best choice for achieving maximum quantity accuracy. This process involves opening every box to manually verify and count every individual unit. Because of this comprehensive check, we provide full liability for stock discrepancies.
